AI-Platform Led Transformation of School Operations: Moving Beyond Spreadsheets and Disconnected Systems

Abstract

Schools across diverse institutional contexts continue to operate core administrative functions through fragmented, manual systems characterised by isolated spreadsheets, paper-based workflows, and disconnected software modules that hinder timely decision-making and institutional efficiency. This study investigates how AI-enabled integrated school management platforms transform operational performance across six critical dimensions data integration, administrative automation, decision support, staff digital readiness, communication efficiency, and compliance and reporting. Employing a mixed-methods research design with a survey-based questionnaire administered to 320 school administrators, principals, and technology coordinators, supplemented by semi-structured interviews and platform usage analytics, the study examines readiness levels and efficiency outcomes across three school categories: Early Adopters, Transitioning Schools, and Traditional Systems. Findings reveal that Early Adopter institutions score significantly higher across all six operational dimensions, recording a composite readiness score of 83.2 out of 100 compared to 59.3 for Transitioning Schools and 28.2 for Traditional Systems. Cumulative operational efficiency gains over four years reach up to 46% in student records and enrolment management alone. AI-platform integration reduces administrative task time by 54%, lowers compliance-related errors by 61%, and improves inter-departmental data consistency by 73%. These results affirm the transformative potential of AI platforms in school operations and underscore the urgency of strategic digital migration away from legacy and siloed systems.
